Job Description

Advancing People are recruiting for a Part-time Receptionist for a prestigious client based in Priory Business Park, Bedford. Our client is looking for a highly professional candidate to provide an expectation service for their head office.

The successful candidate will be the first point of contact for customers and visitors, you will have a passion & ensure they have a great customer experience by making sure they are well looked after.

Key Responsibilities

Customer Service

To provide a professional and welcoming greeting to all visitors.

To ensure Visitors are kept updated if their host is delayed for any reason.

To ensure visitors read the appropriate 'visitor Information' on arrival.

To ensure video communication via the Television screen is delivered consistently at agreed times.

To liaise effectively with all colleagues to ensure effective delivery of reception services.


To ensure calls are processed in a professional and efficient manner at all times.

To ensure the company internal and external telephone list is kept up to date at all times.

To programme mobile numbers into the phone system as required.


To record expected visitors to the premises in an appropriate manner.

To communicate effectively and as required throughout the Business around visitor activity and process.

To ensure Visitors are signed in correctly in accordance with the current Access Level Agreement and issued the correct identification badges,

To enroll new starters on The TDSI access system as required.

To provide Management with attendance and access information as required.

To produce Fire Drill attendance logs as required.

To maintain a list of all cleaners and ensure they wear appropriate identification badges at all times. .


To effectively manage Boardroom bookings.

To make hotel bookings for approved staff and visitors as required.

To order Buffets in a timely manner as required.

To coordinate Monthly Staff Massage bookings.

To book Taxis for approved staff and visitors as required.


To order Franking machine supplies as required.

To ensure Kitchen/boardroom supplies are always available, ordering as required.

To order toilet supplies as required.

To manage and record stock to ensure cots are controlled

Health and Safety

To ensure the Emergency lift procedure is communicated and followed at all times.

To conduct the Fire drill (taking the register) when required.


To manage all Post activity and requirements.

To conduct or assist with Mail shots for sales/marketing as required.

To ensure recycling of ink cartridges is conducted effectively.

Our client is looking for a candidate who has worked within a similar role within a corporate environment, this is essential.

Working Monday to Friday from 12:30pm to 5.30pm Monday to Friday, however you must be able to provide absence cover for the other morning receptions when required. This will be to cover holidays and will be on a full time basis.

Salary of £15,900 for 25 hours per week (as above) plus Bonus and excellent employee benefits package.
